Let's Keep Data Safe- A Quick Reminder for All Members
We were recently made aware that some venues were using a shared account for staff accessing a secure system (thankfully, not the BCRP’s secure intelligence platform - DISC) but we thought it was a good opportunity to remind everyone about the importance of keeping personal data secure..
✅ The Basics of Good Data Practice with DISC
👤 Use your own login
Every person should have their own DISC account. Shared accounts make it impossible to trace misuse — and that puts you and others at risk. They also contravene the BCRP’s protocols and members run the risk of losing their access if they are discovered to have shared their login details
🤐 Keep it confidential
Only discuss DISC info with authorised users. Never talk about, or show this info, to any data subject named on the intelligence platform [DISC] — even casually.
🔍 You’re responsible
All activity is linked to your account. If information is shared incorrectly, the responsibility falls on you and it has consequences. If in doubt, ask!
🚫 Why WhatsApp Isn’t Safe for Sharing Sensitive Info
We know WhatsApp is quick and easy — but it’s not safe or compliant for sharing personal data like:
CCTV images
Names of individuals
Incident details
📵 Please don’t use WhatsApp for this. Messages can be forwarded, stored on personal phones, or lost — and once it’s out, there’s no control.
Remember: WhatsApp isn’t designed for GDPR-compliant business use, as it lacks the necessary safeguards, audit controls, and data handling transparency required for regulated environments. It also contravenes WhatsApp’s own rules which prohibit commercial use.
